| Q: | Is there a way to turn off those annoying pop-ups in QuickBooks that are asking me to buy something? |
| A: | Go to Edit, Preferences, General, My Preferences. Put a check in the box in front of “Turn off pop-up messages for products and services.” |
| Q: | How can I send my accountant a copy of my QuickBooks file? |
| A: | Go to File, Accountant’s Copy, Send to Accountant. Follow the prompts. Choose a dividing date (you cannot enter any transactions prior to that date). Be sure to let your accountant know the file transfer password you entered. The password is needed to open the transfer file. |
| Q: | My accountant sent me an Accountant’s Change File, but I cannot open it. Now what? |
| A: | Do not try to open the Accountant’s Change File. Instead, save it to your My Documents folder. With your QuickBooks company file open, go to File, Accountant’s Copy, import accountant’s changes. Follow the prompts to import the changes into your file. |
| Q: | I would like to have account numbers, but the person who set-up my QuickBooks file did not use them. Can add account numbers, now? |
| A: | Yes, you can add the field for account numbers. Go to Edit, Preferences, Accounting, Company Preferences. Check “Use account numbers”. Then go to Lists, Chart of Accounts. Each account will need to be individually edited by highlighting, then in the bottom, left corner of the screen, choose Account, Edit Account. Add the appropriate account number in the Number field. |
| Q: | Can I print my 1099s from QuickBooks? |
| A: | Yes, you can print 1099-Misc directly from QuickBooks, but you will have to use pre-printed 1099-Misc forms. The forms are available at most office supply stores. |
| Q: | I have stores in 2 different locations. Can I use one QuickBooks file, but keep track of income and expenses for each location? |
| A: | Yes, income and expenses for each location can be tracked using class tracking. A field for class will be entered on each transaction, assigning the transaction to a specific location. Reports can be run for the company as a whole, or for each separate location. |
| Q: | Is there a way I can prevent my bookkeeper from seeing the payroll information if we use QuickBooks to process our payroll? |
| A: | Yes. You can restrict a user’s access to specific areas in QuickBooks. The QuickBooks Administrator can add users and restrict their access in QuickBooks. To add or manage users, go to Company, Setup Users and Passwords. |
| Q: | I want to look at reports on a Cash Basis, but they always open on an Accrual Basis. Is there a way to change that so I don’t always have to modify the report after I open it? |
| A: | You can choose your default report basis. Go to Edit, Preferences, Reports & Graphs, Company Preferences. Choose the basis you prefer under Summary Reports Basis. |
